Administrative Operations Coordinator
North End Wellness – Remote
Full-Time | Monday–Friday
About North End Wellness
North End Wellness is a growing mental health practice based in Boise, Idaho, serving individuals and families throughout the community. Our team includes 22 clinicians and a dedicated administrative staff who work together to support both clients and one another.
Our administrative team values collaboration, clear communication, professionalism, and a supportive work environment. We are looking for someone who will be a positive addition to the team and who enjoys contributing to a cooperative and well-run practice.
Position Overview
The Administrative Operations Coordinator supports the systems that allow the practice to run smoothly. This role is ideal for someone who enjoys organizing systems, solving problems, and helping a professional team operate efficiently.
Responsibilities include scheduling support, insurance verification, billing coordination, clinician credentialing, and other administrative operations.
The position requires someone who is organized, self-directed, and comfortable managing both daily tasks and longer-term projects.
The ideal candidate is comfortable working with technology, navigating multiple online systems, and learning new tools quickly while collaborating closely with the administrative team and leadership.
Because North End Wellness is a growing practice, the role may evolve over time depending on the strengths and interests of the person hired.
Schedule & Work Structure
This position is full-time and primarily scheduled Monday through Friday from approximately 8:00 AM to 5:00 PM.
Some flexibility with scheduling may be possible depending on the candidate and operational needs.
The position is remote, though preference may be given to candidates who live locally in the Boise area to allow for occasional in-person collaboration if needed.
Applicants must have:
• A private workspace suitable for maintaining confidentiality
• Reliable high-speed internet
• A computer capable of running multiple online systems simultaneously
Core Responsibilities
Scheduling & Client Support
• Schedule and coordinate appointments across multiple clinician calendars
• Respond to client inquiries by phone and email in a professional and timely manner
• Manage waitlists and assist with placing new clients with appropriate clinicians
• Coordinate appointment changes and scheduling adjustments
Insurance & Billing Support
• Verify insurance eligibility and benefits
• Navigate insurance portals and clearinghouse systems
• Assist with billing coordination and client payment questions when needed
Administrative Operations
• Monitor clinician schedules and help support consistent client flow
• Assist with client intake coordination and related administrative tasks
• Maintain accurate documentation and records within the EHR system
• Help maintain and update internal documents such as the Operations Manual
Credentialing & Practice Support
• Assist with credentialing clinicians with insurance panels
• Track credentialing applications and maintain related records
Operations & Projects
• Participate in administrative meetings and workflow improvements
• Assist with operational or administrative projects as needed
• Help coordinate website updates or outreach projects depending on experience
Required Qualifications
• High school diploma or equivalent required
• Previous experience in healthcare administration, medical office settings, or behavioral health preferred
• Strong written and verbal communication skills
• Strong attention to detail and organizational ability
• Strong problem-solving and critical-thinking skills
• Ability to manage multiple responsibilities and priorities
• Ability to work independently while collaborating with a team
• Strong comfort with technology and learning new systems

Compensation & Benefits
Hourly Pay: $21–$24 per hour depending on experience
Benefits include:
• IRA retirement plan with 3% employer matching
Administrative Staff Wellness & Growth Bonus Program
Administrative staff participate in a Wellness & Growth Bonus Program that rewards long-term contribution to the practice. The bonus accumulates based on hours worked and years of service and is paid annually.
Estimated annual bonus levels:
• Years 1–3: ~ $1,100
• Years 3–6: ~ $2,200
• Years 6–9: ~ $3,200
• Years 9+: ~ $4,300
Actual amounts may vary depending on hours worked.
Annual Performance Bonus
Administrative staff may also earn an Annual Performance Bonus based on their contribution to the team and overall performance. Bonuses are determined during the annual performance review.
Maximum bonus levels:
• 1–2 years: up to $500
• 3–4 years: up to $1,000
• 5+ years: up to $1,500
